One setup, every date in the series

Weekly breakfasts, monthly lunches, quarterly socials. Members are validated at checkout, their guests come in free, coupon codes stay inside the limits you set, and the pricing tiers hold.

The six jobs that come back every month

A repeating event is the same work over and over, which is why the same problems come back. Each one has somewhere to live here.

Member pricing You trust people to pick the right ticket, then refund the ones who didn't. Membership is checked against your list as they check out. The member rate only appears for members.
Free guest tickets A code you share and hope nobody forwards to a group chat. A £0 tier capped per member, per event or across the whole series.
Publishing 48 dates Forty-eight event pages, each one edited again when the price changes. One series. Change the price once and every future date follows.
Coupon codes A spreadsheet of codes and a manual check against it at the door. Usage cap, expiry date and tier eligibility enforced at checkout.
The door list A printed list, a pen, and a queue. A QR scan showing tier, extras and payment status.
No-shows and refunds Bank transfers out of your own account, tracked in your head. Refund the line item. The ticket voids and the place returns to the pool.

Pricing that knows who is buying

Four parts of the setup do most of the work. Here is what each one looks like in practice.

Ticket checkout EMAIL ADDRESS sam@brightpath.co.uk Member verified · Gold tier · since 2021 General public £22.00 Member rate APPLIED £12.00 Total due £12.00

Membership validated at the point of sale

The member rate is not a code you circulate and hope for the best. Events Builder matches the buyer against your member list and their subscription tier while they are paying, then prices the ticket accordingly.

  • Lapsed members see the public price, not the member price
  • Subscription tiers can each carry their own rate
  • No refunding people who bought the wrong ticket
  • Non-members can still buy, at your public rate

Tiers that match how your group actually works

Most groups already price by audience in their head. Events Builder lets you write it down: five tiers on one event, each one gated by who the buyer is, plus a multi-buy discount when someone brings a table of colleagues.

  • Members vs non-members
  • Guests of members, free or discounted
  • A different rate per subscription tier
  • Discounts on multiple ticket purchases
  • Early-bird and on-the-door prices on the same event

Coupon codes with a hard stop

A code is only useful if it stops when you want it to. Set the discount, cap the redemptions, pick an expiry date, and choose which tiers it works on. All four are enforced at checkout.

  • Percentage or fixed-amount discounts
  • A usage cap, per code or per buyer
  • An expiry date and time
  • Restrict a code to specific ticket tiers
  • One code across a series, or one per date

Publish the whole series at once

Set the pattern and the year of dates appears. Tiers, coupon rules, extras and branding are inherited by every date, so a price change is one edit rather than forty-eight.

  • Weekly, fortnightly, monthly or quarterly patterns
  • Skip a date without unpicking the series
  • Edit one date without breaking the rest
  • Per-date capacity where the venue changes
  • Attendance history for every member across the series

The parts nobody puts in the budget

Promotion, reminders, the door, and the tidying up afterwards.

Branded reminders

Notifications go out in the app and by email under your branding, on your schedule, for every date in the series.

Tracking links and QR codes

Every event generates its own tracked links and QR codes, so you can see which channel filled the room.

Reach beyond your own list

List your event to members across the wider network and fill the seats your own mailing list cannot reach.

Check-in in a browser

Scan on the door from a phone or tablet. The scan shows the tier, the extras paid for and whether the ticket is settled.

Fees you can see first

Commission appears in the dashboard while you are still setting the price. Add it on top or absorb it, and see the margin either way.

Refunds and transfers

Refund a ticket or move someone to a later date in the series. The place goes back into the pool automatically.

Recurring events, answered

What happens when a member's subscription lapses mid-series?

Validation runs at each checkout, not once at sign-up. A lapsed member sees the public price on the next date they book, and goes back to the member price when they renew.

Can a member bring more than one free guest?

You set the cap. One free guest per member per event is the common setup, but you can allow more, allow a cap across the series, or make the guest ticket discounted rather than free.

Do guests need an account to attend?

No. Guests check out without an account and get their own ticket. They appear on the door list under the member who invited them.

If I change the price, does it change dates people have already booked?

No. A price change applies to future dates. Tickets already sold keep the price they were sold at.

Can I run a paid event and a free event in the same series?

Yes. Each date can override the series pricing, so an annual free open evening sits inside the same series as the paid monthly meetings.

Can I sell add-ons, like parking or a workshop place?

Yes. Extras are priced per item and paid for at checkout, and they show on the ticket at check-in so your team knows what someone has bought.
